Host Guide

Using ZEP, anyone can create a metaverse space and use it to hold various types of events: from personal to corporate events; from internal private events to external public-facing events; ZEP hosts can hold conferences, year-end parties, concerts, company-wide events… the sky’s the limit!

1. Create a Space

In ZEP, one metaverse area or unit is called a Space. Each Space is made up of one or more maps.

Ready to create your own Space? Once you sign in to ZEP, click the Create Space button.

ZEP has several ways to create maps, but there are two main options when getting started.

Option 1: Choose a Template

Choose a template that has already been prepared for you to get started quickly! Try a small 10-person office to experience the ZEP Office features, or create your own metaverse house.

Choose one of our party rooms, a beachside map, or a secret house in the woods—you can create a wide variety of Spaces just by using the many ZEP templates.

You can purchase fun maps created by various creators from the ZEP Asset Store and create your Space with the purchased maps!

Additional templates are provided to ZEP Office subscribers to fit their needs.

Option 2: Start with an Empty Map

Start with an Empty Map

If you want to be creative, you can design your own Space by clicking Start with an Empty Map. This will take you to the Map Editor where you can use various tiles and objects to create a custom map.

Once you create a Space, an empty map is generated where you can place tiles and objects.

Initial Space Settings

After selecting one of the two options above, a second window will appear.

Space Name

Write the name of your Space here. You can use up to 30 characters.

Password

Toggle on the Password option if you would like to set a password for this Space. You can change the password whenever you want.

Allow Search

Toggle this option on if you want this Space to be searchable or displayed on ZEP.

Tag

Select at least one tag that represents the type of Space you are going to create.

2. Host Settings

Once you've created the space, you can set up detailed settings for the Space and map from the play screen. To manage your settings, simply click on the Sidebar, then navigate to Settings. From the Host menu, you can customize and adjust various options.

Space Name

Write the name of your Space here. You can use up to 30 characters.

Description

Write a description of your Space here. You can use up to 80 characters.

Tag

Select at least one tag that represents the type of Space.

Thumbnail

Attach the image that you want to be shown when sharing your Space link. (Recommended size: 1040*680 px, max 1MB)

📖 Sidebar Settings

Sidebar Cover Image

Set an image to be displayed at the top of the sidebar. (Recommended size: 440*280 px, max 1MB)

Activate Invite Links

When toggled, this will display the Copy Invite Link button and the Entry Code on the sidebar. If you do not wish to invite external users, please disable this feature.

Fix Sidebar

The sidebar is enabled by default in desktop mode. If you do not want to display the sidebar in certain Spaces, you can disable this feature.

Entry Map

The entry map is the initial map that users first encounter when they enter a Space.

Always Start from Entry Map

Users will always start their journey from the entry map when entering a Space that includes multiple maps.

Allow Guest Nickname Settings

When guests who are not signed in to ZEP enter a Space, they are required to set their nickname. If this feature is turned off, their nickname will be automatically set to a random animal name.

🙅🏻‍♀️ Blocked Keywords

ZEP has its own default filtering keywords, but you can add additional blocking keywords. Enter the words that you want to be blocked in your Space here. Changes will take effect when the Space refreshes, which can be triggered by typing "!destroyspace" into the chat window.

Set Space Password

You can set a password to enter the Space. To do so, enable the Set Space Password toggle and click on the Change button. You can enter a password of up to 32 characters.

Configure Domain Restriction

This feature allows only users who have signed in with an account in a specific domain to enter the Space. Please enter only the text that comes after the "@" symbol in the email address. You can add up to 10 domain addresses by separating them with a comma (,).

Set Up Whitelists

  1. Click Download List and fill it out. (Please use Excel or Google spreadsheet.)
    • Email (Column A): This is a required field and only accounts registered with ZEP can be invited. Please make sure you enter the registered email correctly and that the user uses this email to sign in.
    • Name (Column B): Enter to set the user’s nickname. If left blank, the user can freely change their nickname.
  2. Save the guestlist as a CSV file.
  3. Click Upload List to upload the guestlist.

Disallow Guest Access

Those who have not signed in to ZEP are not allowed to enter this Space.

Allow Search

If you toggle Allow Search, your Space can be searched for and displayed on the ZEP homepage. Please note that it may take some time for your Space to be exposed in the external portal. By allowing this setting, you can attract a wider range of users to visit your Space publicly.

👤 Visit History

Download Visit History

While a visit history can be downloaded for any date, you need to request a window of time that is 30 days or less.

The following is what information is provided:

Email / Nickname (upon entrance) / Joined Time / Nickname (upon exit) / Left Time / Connection Time / Total Connection Time

🗑️ Delete Space

Only the owner of the space has the authority to delete the space. To delete a space, click on the Delete Space button and enter the word "DELETE" into the dialog box that appears.

Please be aware that once a space is deleted, it cannot be restored.

👥 User Permission

You can add members to the space or manage host permissions.

User Permissions

Permissions can be set for accounts with a login history to ZEP.

When inviting users, an email will be sent regardless of whether they are logged in or not.

If you haven't received an email, please check your spam folder.

Only one person can have owner permission.

💎 Donation Settings

You activate donations and set a commission rate that will be sent to the Space Owner when ZEM is donated in the Space.

When you activate this feature, the sidebar will display the Donate option.

ZEM Commission Settings

ZEP has its own currency called ZEM, which can be used on the platform.

You can use ZEM to purchase assets from the Asset Store and you can donate ZEM to other users. Donated ZEM can be monetized through settlement.

You can set the commission rate for the host when ZEM is donated in the Space.

Monetization is possible by setting a fee that belongs to the first creator (Owner) of the Space.

  • The commission rate is 0% by default and can go up to 10%.
  • You can check the received commission fees by visiting the ZEP homepage, navigating to the profile menu, and selecting My Donation History.

👛 Wallet Settings (Beta)

You can activate the ZETA Wallet menu.

Activate Wallet Features

When you activate the wallet feature, a wallet icon will be displayed in the upper-right menu, and you will have access to the wallet function within the Space.

Map Settings

The Map Settings window allows you to configure the following menus.
  • General
  • Video/Audio
  • Chat
  • Embed

The settings are applied to each individual map, so please check and adjust the settings for each specific map.

⚙️ General Settings

You can configure general map settings here.

Map Name

You can change the name of the map. Please note that the changes will only be reflected after saving and reloading the browser. The map name can contain up to 30 characters.

Add Normal App

When you make a change to normal apps, the Space will automatically refresh.

Map Background Music Volume

You Adjust the volume of the background music played in this map, excluding the microphone voice. This adjustment will affect other users as well.

📹 Video/Audio

You can configure the video and audio settings for the map.

Activate Video/Audio

This is set to active by default, allowing all users to communicate via video and audio.

Deactivate Video/Audio

If you select this mode, only spotlighted users can share their video and audio, while other users will not have the ability to do so.

Activate Audio Only

All users including Hosts are able to use their audio capabilities only.

Allow Video/Audio for Private Areas

Users in private areas are allowed to use their video and audio capabilities.

Enable Spotlight for Hosts Automatically

The video and audio of Hosts (Owner, Admin, Staff) are broadcasted throughout the map. However, if you select the Activate Audio Only mode, they will have the option to use only audio without sharing their video.

💬 Chat

You can manage chat features and download chat history.

Allow Chatting for All Users

You can choose whether to allow chatting for users. If you toggle off this option, users will not be able to send chat messages in this map.

⚠️
Spotlighted users can still send chat messages.

Allow DM

If you disable the ability to send messages to individuals, it will also disable the ability to send messages in the profile menu.

Hide Chat Window

The chat window is hidden by default when users enter the map. You can open the chat window at any time by clicking the Chat button.

Hide Entry Notification Message

The entry notification that appears in the chat window when a user enters the map is hidden.

Chat History
  • Download Chat
    • Chat history can be downloaded in TXT file format.
    • The chat history will be stored for up to a week and can contain up to 10,000 lines.
  • Delete History
    • All chat history will be deleted.

You can adjust the settings for embedding.

Activate Embedding

Media (YouTube, Image, File, Whiteboard)

If this option is disabled, the Add Media menu in the bottom bar will be deactivated.

Mini-Games

If this option is disabled, the Mini-Games button on the sidebar will disappear. This prevents users and guests from starting mini-games during events, etc.

Activate Poke

You can choose whether to enable poke notifications. When this option is disabled, the poke feature (pressing the Z key/👈) will be disabled.

🔨 Map Editor

You can edit maps in the Map Editor.

From the Map Manager Panel, you can copy maps, open map settings, and add new maps.

When you add a new map by clicking the Create map button, you can choose from ZEP's official templates or select from other maps you've purchased from the Asset Store, as you would when creating a new Space.

This window allows you to edit map names and delete maps.

3. Mini-Games

When hosting a game where rewards will be given out, please make sure you understand how to play mini-games in ZEP before the event.

Those with permission roles of Staff or above can close a ZEP Mini-Game if they jump on the box. All event management members must be aware of this.

4. Host Checklist

In ZEP Spaces, users are split into different channels as the Space fills up. The default maximum capacity for a channel is 500. Once a channel exceeds 60% of the maximum capacity, an additional channel will be created. As new users enter the Space, they will be randomly assigned to one of the available channels that has not reached 80% capacity.
  • When Channel 1 exceeds 60% of the maximum capacity, Channel 2 will be created.
  • New users entering the Space after Channel 2 is created will be randomly assigned to either channel.
When holding an event that requires a presenter to be visible to users across the whole map, or if screen sharing for all users is required, follow these steps:
  • Grant the presenter Host permissions, which can be done by assigning them the Staff or higher role.
  • Turn on the spotlight feature for the presenter.
When sharing your screen, if you want the shared screen’s audio to be broadcast to your Space, make sure you check Share system (or tab) audio.
When an error occurs on the map, use the!destroy command in the chat window to refresh. All users, including Admins, will be prompted to re-enter the map.
When presenters access the map through various devices at the same time, it may result in audio feedback. Please use one device for audio or use earphones, especially when presenters are in the same physical location.
Do a rehearsal with the same network environment as the event day and use the same device you intend to use during the event to make sure audio, video, and screen share are working properly in that environment.

Space Commands

ZEP supports commands that execute certain functions in a Space.

Commands are only available to those with user permissions of Staff or above.

You can execute specific functions by entering commands in the chat window.

  • !help: Lists all commands.
  • !destroyspace: Removes all users and resets the Space.
  • !destroymap: Removes all users and resets the map.
  • !kick NAME: Kicks the specified user from the room. Kicked users cannot re-enter the Space for 24 hours. Please note that the use of the kick command cannot be undone, so use it carefully.

  • !clear: Clears the chat window history.
  • !clearembed: Clears all the embeddings added to the map.
  • !muteall: Hides all users' audio and camera feeds in the map.
  • !unmuteall: Shows all users' audio and camera feeds in the map.
  • !spawn NAME: Spawns the user at your location.
  • !chatinterval N: Applies slow mode to chat. Users will only be able to post every N seconds. This command allows Admin to reduce spam messages.

5. Recommended Specifications

For smoother interactions with objects and other users, it is a good idea to close other browser tabs and exit other software programs. The number of concurrent users and the size of the maps can affect the performance of the service and impact the user's experience. The specifications below represent the minimum requirements for simple use cases, including but not limited to 1-on-1 meetings.

ZEP FAQ

Device Specifications

  • The PC version should not have any major issues if you meet the specifications to run Chrome.
  • Mobile: Samsung Galaxy S6, iPhone 6, comparable model or above (RAM 3GB)
  • Computer: 4-core CPU and 4GB memory or above
  • For environments with many concurrent users, please close other tabs and applications that are not in use and refrain from multitasking.

Network Connection

The following is the recommended network speed converted for mobile use.

  • Sharing both screen and audio
  • Minimum upload speed of 3 Mbps or more (measured in bits per second)
  • Minimum download speed of 10 Mbps or more (measured in bits per second)
  • For environments with many concurrent users, the recommended network speed is at least 60 to 70 Mbps
  • It is recommended that presenters who use a lot of video and audio features allocate or dedicate bandwidth.
  • For a more stable experience, we recommend that mobile users use the official ZEP app. Please note that due to compatibility issues, some features may be limited when using mobile browsers instead of the official ZEP app.
